TEKTUNE ("TEKTUNE", "we", "us") makes software that auto repair shops use to run their day: a task board, loaner and rental fleet, inspections, electronic rental agreements, messaging, time clock and more. This policy explains what information TEKTUNE handles, why, and the choices you have.
Information shops put into TEKTUNE
Each shop decides what it stores in TEKTUNE: its employees' names, email addresses, mobile numbers and work activity; vehicles, tasks, inspections and photos; messages between staff; time clock punches; and, for shops that use them, rental agreements and the documents their customers provide when signing (such as photos of a driver's license and insurance card). That information belongs to the shop. TEKTUNE stores and processes it on the shop's behalf, only to provide the service to that shop.
Every shop's information is kept in its own separate database and private file storage. Photos and documents are only shown to people signed in to that shop.
What we collect
- Account information: name, email address, role, password (stored only as a secure hash) and, if you add one, a mobile number for sign-in codes.
- Rental customers: the name, mobile number, email and documents a shop enters or a customer provides while signing a rental agreement, and a record of the signing (time, device and IP address) that forms the signing certificate.
- Usage and device information: sign-in times, the devices you've signed in from, and technical logs needed to keep the service secure and working.
- Payment information: handled by Stripe - card details go directly to Stripe and are never seen or stored by TEKTUNE.
- This website: what you enter in the "Get started" form, so we can reply. We don't use advertising trackers.
How we use information
To provide and support TEKTUNE; to sign people in securely (including sending sign-in codes); to deliver the messages a shop sends through TEKTUNE, such as rental agreement links; to bill subscriptions; to keep the service secure and prevent abuse; and to meet legal obligations. We don't sell personal information and don't use it for advertising.
Text messages (SMS)
TEKTUNE sends text messages in two situations, and only to people who have agreed to receive them:
- Sign-in codes to TEKTUNE users who add their mobile number in their Profile and tick the box agreeing to receive them.
- Rental agreement messages - the link to sign and the signed copy - to a shop's rental customer who has told the shop it's OK to text them. Staff record that agreement before a text is sent.
We keep a record of each opt-in (the number, when, where and the wording agreed to), and keep opt-in and opt-out records for at least six months after someone opts out. Message frequency varies with how you use TEKTUNE - usually 2 or 3 texts per rental, and one per sign-in on a new device. Message and data rates may apply. Reply STOP to any TEKTUNE text to opt out - we confirm, and send nothing more until you reply START. You can also ask to be removed by emailing [email protected]. Reply HELP for help. We do not sell, rent or share mobile phone numbers with third parties. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories of sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We use a messaging provider (Twilio) only to deliver the texts described above, on our behalf.
Sharing
We don't sell or rent information. We share it only with service providers who help run TEKTUNE - hosting, email delivery, text message delivery (except as limited above) and payments - and only as needed to provide the service; they may not use it for anything else. Integrations a shop turns on (like Tekmetric or Bouncie) exchange data with those services at the shop's direction. We may disclose information if required by law, or to protect the safety and rights of people and of TEKTUNE.
Location
If a shop uses the time clock, the device's location is checked when an employee clocks in or out to confirm they're at the shop; the coordinates are only visible to the shop's managers. If a shop uses vehicle tracking, GPS data comes from the shop's own Bouncie devices.
Security
Information is sent over encrypted connections. Passwords are hashed, secrets and signed documents are encrypted, new devices must confirm a sign-in code, and administrator access requires two-step verification. No system is perfectly secure, but we work to protect your information. If a breach of personal information happens, we will notify affected shops and people as the law requires, including Ohio's data breach notification law (Ohio Revised Code 1349.19).
Retention
A shop's information is kept while it uses TEKTUNE. When a shop closes its account, its data can be exported and is then deleted; a final backup may be kept for a limited time in case it's needed. Signed rental agreements are kept for the retention period the shop sets. Opt-out records are kept so we keep honoring them.
Your choices and rights
You can update your profile, change your password, remove your mobile number, and opt out of texts at any time by replying STOP. Depending on where you live, you may have the right to access, correct or delete personal information. If you're an employee or customer of a shop that uses TEKTUNE, contact that shop first - it controls its information and we'll help it respond. Otherwise contact us at [email protected].
Children
TEKTUNE is a business tool and isn't directed at children under 16. We don't knowingly collect their information.
Changes
We'll post any changes here and update the date above. For significant changes we'll notify shop administrators. We will not use text messaging opt-in information in a new way without first asking for consent again.
